How anonymisation works for you

Personal data is redacted by default — what the coloured placeholders in your transcript mean and who can see original text.

Personal data is redacted by default. During processing, names and other personal details are replaced with placeholders before the transcript appears in your workspace. Detection is on by default, so you don't have to set anything up — organisers can adjust or disable it in the recording settings.

What you see in the transcript

Where someone mentioned a name, the transcript shows a small coloured badge with the category instead — for example Person, Location, Organisation, Email or Phone number. The rest of the sentence stays untouched, so the discussion remains readable and the analysis keeps working. The badges are not errors — they are the anonymisation doing its job.

What organisers can do

Whether the original wording is stored alongside the anonymised text is decided by the organiser when the discussion is set up.

  • If originals are stored: click a badge and use Reveal original to see the original wording; Hide original covers it again. Remove redaction restores the original text permanently in the transcript — useful for false positives, for example when a place name matters to the discussion. This option becomes available once the segment is saved.
  • If originals are not stored: once processing is saved, the original text is not kept and cannot be revealed from the transcript. Two limits are worth knowing. During a live session, a redaction can still be revealed until you reload the page. And if the organiser enabled audio retention, the saved audio still contains the spoken words.

Where these settings live

The detection categories and the two retention switches — Audio retention and Personal Information retention — are not a single global setting. They can be set at organisation, project, event, session and discussion level; each level inherits from the one above, and every field shows its origin with a chip such as Inherited from Organisation (Locked by Organisation means it was fixed from above and cannot be changed there). Organisers can even adjust them while a discussion is running, in the Settings tab of the panel on the right — changes apply from the next segment onwards, never retroactively. Organisation-wide defaults covers the organisation level.

Add your own redactions

The automatic detection is not the last word. Select any text in the transcript and a small popover headed Redact text appears; pick a category — for example Person, Location or Organisation — and select Apply to redact it yourself.

If you later turn a whole category off, a dialog asks what to do with the redactions already applied: Remove existing redactions clears them (this cannot be undone), or Only going forward keeps them and simply stops redacting new matches.

What participants are told

Before a guest records anything, the recording page states that personal information will be anonymised — consent comes first. For transcript uploads you can additionally replace real speaker names with neutral ones using the option Use Speaker 1, Speaker 2, etc.
