Who can see your work: visibility levels

One setting controls who in your organisation can see each item — every project, event, session and discussion has it. You'll find it in the item's edit dialog: in the page header, click ⚙ — or on a card, open the ⋯ menu and select Edit. Each card shows its current visibility as a badge — except in the All discussions list, where cards show no badge; manage a discussion's visibility from its session page instead.

The four options

• Personal — only you. Nobody else sees the item, not even in lists.
• Shared — you plus the people you pick. People you add can see everything inside and can create discussions.
• Organisation — every member of your organisation.
• Inherit — no rule of its own; the item follows its parent. This is the default for events, sessions and discussions, and the dialog tells you what it follows (e.g. "Use the event's visibility").

Projects are the top level, so they have no Inherit option — a project is always Personal, Shared or Organisation. Quick sessions have no Inherit option either — they start as Personal.

How inheritance works

The nearest level that isn't set to Inherit decides.

• A discussion on Inherit, inside a session on Inherit, inside a Shared event → the discussion follows the event's sharing.
• Set that discussion itself to Personal, and it becomes private to you — even though the event is shared.
• Set an item back to Inherit to remove its own rule and re-attach it to the hierarchy.

Two useful consequences:

• Run a mostly-open project with a few private items in it — set just those to Personal.
• Keep a project Personal but share a single event out of it — set the event to Shared and pick people.

Who always has access

• Owners of an item — and of any level above it — always keep access.
• Organisation admins and owners always have access and can manage visibility on any item.

Sharing never leaks upwards: access to one event does not reveal the rest of its project.

Change who a Shared item is shared with

1. In the page header, click ⚙ — or on the item's card, open ⋯ and select Edit.
2. Select the Shared tile.
3. Add or remove people in the member picker.
4. Click Save changes. The item's badge now shows Shared, and the people you picked can see it.
