Invite link expiry and renewal
What each invite link status means, how to renew or replace a link, and what guests see when one stops working.
An invite link stops working for one of three reasons — it expired, reached its use limit, or was deactivated — and every state can be fixed without losing recordings.
Link states
| Status | Meaning | Your options |
|---|---|---|
| Active | Guests can join and record. | Share the link or QR code. |
| Expired | The Expires at date has passed. | Create replacement link. |
| Used up | The link reached its Maximum uses. | Create replacement link. |
| Deactivated | You switched the link off with Deactivate link. | Reactivate link. |
You manage event links under Existing invite links on the event's invite page. Delete link removes a link permanently; recordings already submitted stay.
Single-use vs. reusable links
- Per-group guest links from the quick guest setup accept one recording. After the group submits, the discussion shows Needs reactivation until you click Reactivate same link in the session view.
- Event, session and discussion links are reusable until they expire or hit Maximum uses. Leave Expires at empty and they stay valid until you deactivate them.
Same link or new link?
- Reactivating keeps the same address, so printed QR codes keep working.
- Create replacement link issues a new address: anyone holding the old link loses access. Existing recordings are kept.
What guests see
| Link and its state | Message on the guest's phone |
|---|---|
| Per-group quick link that has already been used | Invite Expired |
| Event, session or discussion link — expired | Invalid Invite |
| Event, session or discussion link — used up | Invalid Invite |
| Event, session or discussion link — deactivated | Invalid Invite |
| Any link that was deleted or mistyped | Invalid Invite |
Event, session and discussion links can't tell a guest why they failed — expired, full and switched-off all read as Invalid Invite — so a quick test scan before your event is the only reliable way to catch a dead link early. In every case the page asks guests to contact the organiser for a new link, so have a replacement ready before your event starts.
