What your guests see and agree to
The welcome page, the group name field and the exact consent notice guests must accept before recording starts.
Your guests cannot start recording until they actively tick a consent notice — the start button stays disabled until they do. Everything before that fits on one phone screen: what they are joining, a group name field, and the notice itself.
The welcome page
After opening your link or scanning the QR code, guests see a welcome page with the event and session name, the discussion the link points to (if it points to one), and the expected languages. They need no account and install nothing.
Below the details, guests fill in Group name — for example "Table 5". Depending on your invite settings, the field is marked (required) or (Optional). This name is how you tell recordings apart later, so tell your guests exactly what to enter. A name already used in the same event is rejected with a message asking for a different one, so give each table a distinct label.
If your link instead points guests into existing discussions (guest naming switched off), there is no group-name field. The welcome page shows a Choose a session and a Choose a discussion dropdown, and guests pick where to record from those before they can start.
The consent notice
Under the heading Before you begin, guests tick a checkbox with exactly this text:
"I understand that this discussion will be recorded and transcribed. The recording will be analyzed by AI to extract key points and insights. Personal information will be anonymized according to the organizer's settings."
Only after ticking it can they select Start Microphone Check. Personal data is anonymised according to your recording settings — anonymisation is on by default, but you can adjust or switch it off in Recording settings (optional) when you create the link. The notice makes this promise on your behalf, so keep your setting in mind when you introduce the recording to the room.
The page speaks your link's language
The invite link carries the language you are using in the app. Switch the app to your guests' language before copying the link or downloading the QR codes, and the whole guest flow appears in that language.
