Share documents and dashboards by link

Copy a view-only or editable link to a document or dashboard, choose who it works for, and revoke it again.

Each document and dashboard has its own sharing setting with a copyable link. You reach it through the sharing badge on the artifact — the small label that shows the current level, for example Personal.

Share by link

  1. Open the document or dashboard — on the canvas or on its own page.
  2. Click the sharing badge. The Change sharing level window opens.
  3. Choose one of the three audiences below.
  4. Click Save sharing. The matching link is copied automatically — Link copied confirms it.

The three audiences

  • Public link — switch it to On and tick the confirmation checkbox. Anyone with the link can open the artifact, without logging in. Public access is always view-only. A QR code appears next to the link, handy for showing on a screen.
  • Organisation access — choose View only or Can edit, then use Copy link next to Internal organisation link. The link only opens for logged-in members of your organisation.
  • Named people — search for members and add them; set each person to View or Edit. Then use Copy link next to Invite link. The link only opens for the people listed, after they log in.

You can combine audiences — for example, organisation-wide view access plus edit access for two named people.

Revoke access

  1. Click the sharing badge again.
  2. Switch Public link to Off, set Organisation access to Off, or remove a person with the X next to their name.
  3. Click Save sharing. The corresponding link stops working from now on.

Good to know

Sharing an artifact never exposes the chat that created it — people open the artifact on its own page. Chats are shared separately, see Share Co-Pilot chats.
