Invite participants to an event

Create invite links for a whole event, one session or one discussion, and download all QR codes at once.

Every event can hand out its own invite links: one link for the whole event, one per session, or one per discussion — each with a QR code you can download individually or all at once.

Create an invite link

  1. In your projects, open the event you want to invite people to.
  2. At the top of the event page, click Invite participants.
  3. Enter an Invite name so your team knows who the link is for.
  4. Optionally add a Description — a private note for your team, for example that you changed the recording settings for this link.
  5. Choose whether the link covers the whole event, one session, or a single discussion.
  6. Leave Let guests name their own discussion group ticked if guests should type their own group name; untick it to send them into existing discussions instead.
  7. Optionally limit the link with Maximum uses and Expires at.
  8. Click Create invite link — the link and its QR code appear, ready to share with Copy link.

QR codes and bulk download

All links for the event are listed under Existing invite links, each with its status and use count — they stay here even before any guest has recorded. Click QR code on a link for an enlarged version with Download PNG. Click Download all QR codes (ZIP) to get a printable PNG for every active link in one download — the ZIP is organised into one folder per session plus an event-level folder. Revoked, expired and used-up links are skipped, so download it again after you renew a link.

One thing to watch: the Invite participants shortcut in the sidebar does something different — it creates a stand-alone guest session without an event. Use the event page when the recording belongs to a project.
